Patriot Ease of Setup and Use

The user-friendliness and ease of setup of Patriot’s software is one of its strongest features, with help every step of the way for new users. Patriot offers a 30-day free trial where you can test-run its features, and the Patriot website even has a series of free tutorials on various features that you can view while deciding whether to sign up.

Overall, Patriot Accounting is easy on the eye and easy to use. The “Chart of Accounts” is a single dashboard where you can add, track, and manage asset, liability, equity, income, and expense accounts in one place. There’s also a single dashboard where you can view and export profit and loss statement and filter according to different timeframes, e.g., month on month. The whole software is really intuitive, employing drag and drop wherever possible, e.g., when importing new customer data from Excel.

Patriot Pricing and Plans

Patriot’s accounting software consists of two plans: Accounting Basic and Accounting Premium (see below for full breakdown). The accounting software is charged at a flat monthly rate, costing your business the same amount no matter how many users you add. Separately, Patriot offers payroll software running from $10/month + $4/month per user for basic features or $30/month + $4/month per user for premium features. Patriot Accounting and Patriot Payroll integrate seamlessly with one another.

Patriot Features

Patriot Software offers everything small businesses need to track their income, expenses, and other accounting activities, but without bogging you down with enterprise-level features. In short, this is how Patriot makes its software more affordable than the big accounting software providers.

General Ledger and Expense Tracking

With accounting basic or premium, you can set up a chart of accounts and track your activity by each account type, e.g. savings, advertising, job supplies and materials, and meals and entertainment.

Recording payments is very simple, and can be done by just applying apply the money you receive to the correct product or service. You can record the payments you receive from customers whether they pay by cash, check or credit card.

You can also track accounting transactions by department. After you set up departments during the initial setup phase, you can assign them to customer invoices, vendor payments, and imported transactions. You can also filter by department on your profit and loss statement.

Billing and Invoicing

With Accounting Basic or Accounting Premium, you can create and track unlimited customers and invoices and accept credit card payments. With Accounting Premium only, you can also do things like set up recurring invoices (just choose your start and end date and select your frequency) and invoice payment reminders, and create custom invoice templates with your company logo and colors of your choice.

Another useful feature, available only for Accounting Premium users, is automated payment reminders. When you begin using Patriot Accounting, you can set up rules for when to send past-due messages to customers.

Accounting reports

With Patriot Accounting, you can view, customize, compare, print, and export different types of reports from a single dashboard:

  • Profit and loss statement. Displays your income, expenses, and net profit. Customizable by timeframe (e.g. month, quarter, year).
  • Accounts receivable aging. Tracks customer invoices with a date-by-date breakdown. Displays which customers are 30, 60, and 90+ days past due date.
  • Unpaid customer invoices. Another way of keeping on top of all your customer invoices is through this detailed summary of all unpaid customer invoices you have created and sent. Customizable by customers, invoice numbers, and due dates.
  • Balance sheet. Shows your current total balance for different asset, liability, and expense accounts. Again, you can customize this according to timeframe, the accounts you wish to view, and how you want the money displayed.

Patriot Integrations

Patriot’s third-party integrations used to be quite limited, but the company has made great strides to improve its service. Patriot Accounting now integrates with Plaid, an online banking API that lets you sync your bank account with the software and automatically import bank and credit card transactions. Users of Accounting Basic can connect up to five bank accounts, while Accounting Premium users can connect up to 10. In addition, Patriot Accounting integrates with CardConnect to enable your customers to pay you via credit card. Patriot Payroll can also integrate with QuickBooks Online, an option that is not available for Patriot Accounting.

Patriot Mobile Apps

Patriot doesn’t offer a mobile app. However, its online software is optimized for mobile and works well on mobile browsers on the latest iOS and Android-based phones.

Patriot Customer Support

Even while you’re still in the decision stage, you can go to the Patriot Software website to view short tutorials on some of the accounting features. After sign up, basic and premium users have access to customer support via telephone or live chat, from Monday to Friday, 8am – 8pm Eastern Time. The Patriot website also has a comprehensive help section where you can find answers to frequently and not-so-frequently asked questions.

Bottom Line

Patriot Software is aimed well and truly at small businesses, offering all the features growing businesses need to keep track of invoices and expenses but without forcing you to purchase enterprise-level features that tend to cost more than a small business can handle. For $15/month, Accounting Basic offers all the essentials for tracking your accounts, and for only another $10/month Accounting Premium lets you automate many accounting processes. Overall, this is a good accounting platform for any small business on a budget.
